Data Archiving vs. Data Backup

 How are you protecting your data?  Are you backing up your data regularly and archiving your data periodically?

The difference between data backup and data archival often causes confusion. So what is the difference between the two?

Put simply, data backup is a copy of data that can be used to restore the original in the event that data is lost or damaged beyond repair. It is a process by which you make multiple copies of data from different time periods in order to recover data to your primary file system, with recover being the ultimate goal.  A classic backup application takes periodic images of active data in order to provide a method of recovering records that have been deleted or destroyed. Most backups are retained only for a few days or weeks as later backup images supersede previous versions.

Archiving, on the other hand refers to a single or a collection of historical records specifically selected for long-term retention and future reference. It is usually data that is no longer actively used. It enables you to put your data somewhere safe, stored sometimes in multiple physical locations on different storage devices.  It no longer needs to be backed up because it is already safe and protected.  Some data just simply fits into archiving; compliance records, old projects, experiment results, etc.  The other attribute of an archive system is to make that data easily available, like storing it in a file system where you manage the naming and directory structure.  Your files are available anytime you need them, but stored at the absolute lowest cost and highest protection level.

One of the differences worth noting in the above descriptions is that a backup is always a copy, while an archive should be the original that was removed from its initial location and sent elsewhere for long-term retention.  Despite the differences between data backup and data archiving, it's important for every company to distinguish its backup and archiving needs and to choose a product that meets its individual technology and needs.
